Asset indexing consists of allowing operators to inventory assets, also known as equipment, during their interventions.
Supervisors will then be able to visualize these indexed assets. This is crucial for better managing preventive maintenance operations as well as human and financial resources.
In the long term, asset indexing will allow you to improve the quality of your interventions by tracking all previous interventions carried out on a previously indexed asset, thus providing a history of the actions taken.

2. How to Set Up Asset Indexing on Ermeo?
Below, we will present the method to use for setting up asset indexing on Ermeo.
Our example: Imagine an operator needing to index all the Engines on a site.
- First, they will choose the site where they are located.
- They will then obtain information about this site. They will then index the Engines one by one by entering the information for each Engine.
Here is the list of steps to set up asset indexing on Ermeo:
- Create a **Sites** database to list all the sites where operators can intervene.
- Create a **Engines** database. All Engines indexed by the operators will be classified in this database.
- Create the form that allows operators to perform the indexing.
Step 1: Have a Sites Database to List the Sites where Operators Can Intervene
In this step, you need to create a database to list all the sites. Each site will be characterized by the following attributes:
- Client Contact (Text)
- GPS Coordinates (GPS Coordinates)
- Client Email (Email)
- Client Name (Text)
- Site Photo (Image)
- Site Address (Text)
- Site Agency (Text)
- Site Access Instructions (Text)
- Site Contact (Action)
- Client Phone Number (Phone Number)
Ermeo allows you to create resources in bulk in a database using imports.
Your database will consist of different sites.
Step 2: Create a Engines Database
In this step, we will create a new database named **Engines**. Each Engine will be characterized by the following attributes:
- Site (Text)
- GPS Coordinates (GPS Coordinates)
- Commissioning Date (Date)
- Serial Number (Text)
- Photo (Image)
- Pressure (Number)
- Power (Number)
- Status (Multiple Choice)
- Type (Multiple Choice)
- Parent Resource -> Each Engine will have a parent resource, which is the site where the Engine is located.
The operator will then index new Engines. All newly indexed Engines will be in this database.
Step 3: Create the Form to Index the Engines of a Site
To recap, the form created will allow the operator to perform the following steps:
- The operator will first choose the site where they are located.
- The operator will then obtain information about this site.
- They will then index all the Engines they encounter on the site.
In the form, the operator will select a resource as the main resource of the intervention. This resource will be a site.
Subsequently, they will index the Engines of this site. The declared Engines will automatically have the site where the operator is located as the parent.
Step 3.1 Creation of the Form and Loading of Intervention Information
- Create a new form and name it "Asset Indexing".
- In the editing studio, drag and drop a **Section** block and name it "Start of Intervention".
- Inside this block, drag and drop a **Text Block**.
- Inside the Section block, drag and drop a **Date Block** and name it "Today's Date". Check the "Today's Date" option.
- Inside the Creation block, drag and drop a **GPS Coordinates Block** and name it "Site GPS Coordinates". Link this block with the "GPS Coordinates" attribute of the site. This attribute is an attribute of the Sites database.
3.1 In the default value of this text block, place the tags User First Name and User Last Name.
Step 3.2 Indexing the Engines of the Site
- Drag and drop a **Creation Block**.
- Inside the Creation block, drag and drop a **Text Block**. Name this block "Serial Number". Link this block to the Serial Number attribute of the Engines database.
- Next, drag and drop a **Date Block**. Name it "Commissioning Date", link it to the Commissioning Date attribute of the Engines database.
- Finally, drag and drop a **Number Block**. Name it "Pressure Reading" and link it to the "Pressure" attribute of the Engines database.
- Publish the form.
- Launch the form from the web app or the mobile application.
- Choose the site you want to work on. Verify the site's information to index the Engines.
- Index the Engines and complete the intervention. Congratulations! The indexed Engines are now visible in the Engines database.
1.1 Name this block "Indexing a New Engine". In the options, choose the database as Engines.
It is also possible to customize the names of the created Engines.
