1. What is time stamping?
Time-stamping consists of affixing an electronic stamp to a document, attesting to the exact date and time of its issue or signature.
By definition, this time-stamping is a genuine proof of trust: its implementation, based on standards recognised at French and European level, constitutes certain and irrefutable proof of the date. Time stamping is essential for certifying that a document complies with legal deadlines. It has the same legal value as the postmark on a letter.
2. How to activate the time-stamping option on Ermeo:
Thanks to our collaboration with Certigna (A French cybersecurity expert), you can time-stamp your reports as well as your photos on ermeo.
To activate this feature, please follow the steps below:
Go to the Certigna website:
https://www.certigna.com/famille-de-services/horodatage/
-Create an account on the site, then buy "tokens".
Once you have done this, send your username and the password generated by certigna to your ermeo account manager to complete the procedure.
3. Time-stamp a report:
By default, all Ermeo reports are time-stamped. This generic timestamp is not recognised by a third-party timestamp. It is only used to define the exact date and time the report was generated.
In order to meet the requirements of the time-stamping decree, it is essential to have certigna tokens to certify your reports.
Report certification is only available for customised reports.
- Once you have created your form, go to the "custom frame" section.
- Import the custom frame corresponding to your form.
Select "Yes" for the "Time-stamp" option associated with this frame.
A certigna token is equivalent to exporting or sending an email report to Ermeo.
4. Time-stamp a photo:
Time-stamping a photo involves affixing an electronic seal to it attesting to the exact date and time it was taken.
You can time-stamp photos taken during your work. This timestamp only concerns photos taken from the camera and does not include photos selected from the phone's gallery.
4.1. How do I enable a photo to be time-stamped?
- Go to the "Settings" section of the photo brick concerned by the certification.
You can annotate a photo using the following options, as shown in the image above:
- Annotate your photo with tags: The first option is used to automatically annotate your photo with the date and geolocation of the photo taken. You can also add a value (via a tag or a manually entered value) beforehand as a prefix.
- Annotate your photo with the date: The second option allows you to annotate the photo with the date it was taken.
- Annotate your photo with geolocation: The third option allows you to annotate the photo only with the geolocation where the photo was taken (Latitude and longitude).
- Time-stamp your photo via certigna: Certify your photo via certigna.
You can view the certificate number directly in the default/customised intervention report.
Each certified photo is equivalent to a certigna token. If you have two photo bricks, you need to activate this option for both photo bricks.
If there is no network while the photo is being taken, Ermeo will try to certify it for 5 minutes. If at the end of this time the application still does not detect a network, the photo will not be certified.
- During the job, two tokens will be counted if the photo is deleted and then resumed a second time.
- In the case of a photo brick within a repeatable section, all photos taken will automatically be certified as well.
- if you need to retrieve certificate ids from personal reports, you can use the :timestamp tag. For more information, please consult the configuration file for your form.
