The offline mode guide for field operators

Operators may have to work in places where there is no internet connection or network (basements, tunnels, etc.). Off-line mode is therefore important. The operator will be able to carry out his work despite the fact that he has no network on his phone.

1. Activate offline mode on the phone

1.1. Version of the application

First of all, you need to make sure that the application is up to date so that you can activate offline mode.

Click on ‘Other’ and then on ‘My profile’ and check that you have the most up-to-date version.

1.2. Activation of the offline Mode

In the ‘Other’ section, click on ‘My profile’. Then click on ‘Activate Offline Mode’.

Tip 1 To deactivate Offline mode, just click on ‘Deactivate Offline mode’. This way, you can easily switch between the different modes.

Tip 2 You can also activate offline mode via an automatic notification when you open the application. To activate this option, please contact your account manager.

1.3. Loading of the database

This step will enable you to have all the data you need for your work on your phone. While the database is being downloaded, the application must remain open.

1.4. Data synchronisation

Synchronisation means that the latest changes made to the platform are taken into account. As an operator, you will therefore be aware of these changes in real time. You always have to wait for synchronisation to finish (percentage of 100% reached and banner turning green).

For synchronisation to take place, you need to have a network. If the phone is in Airplane mode, synchronisation will not be effective.

Synchronisation can take place in the background (without the application being open) for Android devices only.

If you are using PDFs and images, you will need to wait for these resources to be synchronised.

The synchronisation of PDFs and images will be triggered once the synchronisation for receiving data (or sending data) is complete.

Once these 4 steps have been completed, you can work with peace of mind in Offline mode.

2. Use photos and PDF

If Offline mode is activated without a network, then the application will not be able to load photos and PDFs when the form is launched for the first time.

You should therefore launch the form first, in Offline mode with a network. The photos and PDFs will then be loaded onto the phone.

You can then use Offline mode without a network and have the photos and PDFs at your disposal.

With regard to Offline mode and Photos/PDFs, here is the workflow that currently works:

  • Activate Offline mode on the application
  • In Offline mode with a network, launch the form containing the photos and PDFs to load the data onto the phone.
  • The user can work in Offline mode without a network and fill in the forms containing the images/pdfs.

Notes
  • Once Offline mode has been activated, we strongly recommend that you leave it activated.
  • For a user, only the databases for his/her team(s) will be generated. Only data relevant to each user is generated.
  • Synchronisation at the end of an intervention may fail if a user has deleted attributes on the platform, while another user is carrying out an intervention with these same attributes in offline mode with his application.
  • Synchronisation is required to keep the version of a form up to date. Synchronisation is done proactively by Ermeo.
  • In order for the resources created to appear on the platform, they must be synchronised.
  • If you don't use the application for more than a month, it will automatically disconnect and offline mode will be deactivated for security reasons. You will need to reactivate offline mode at a later date.
  • It is possible to define an automatic disconnection time if no action is taken on the ermeo application. To activate this option, please contact your account manager.

Limitation The automatic association rules work in Offline mode only when the user has fewer than 500 documents to view in their application.
