Manage users in Ermeo

It is useful to create a user when a new person joins your company or when someone needs to use Ermeo for the first time.

1. What is a user?

A user is a person using Ermeo. A user can be an administrator, a supervisor, an operator. An Ermeo account is associated with each person. This account can be active or not. For an account to be active, a license must be assigned to it.

2. Create a new user

Context: Let's imagine an employee joining a new company. A supervisor will need to create an Ermeo account for this new employee.

a. In the Users tab, click on New user.

b. Fill in the various fields requested:

  • the user's first name
  • the user's last name
  • the user's team
  • the user's role
  • the user's email

c. Define the user's identifier. There are two types of identifiers:

  • the identifier is the user's email address
  • the identifier is a custom identifier.

d. Decide whether you want to send an invitation to your user to set their password or not. This invitation will be valid for 15 days. If the invitation is not accepted by the user, this invitation must be resent to the user.

e. If you decide not to send an invitation, enter a password and confirm this password. Be careful, the password must not contain spaces.

f. In order for this user to be active, do not hesitate to assign them a license.

3. Archive a user

a. Go to the "Active Users" section.

b. Select the user you want to archive and then click on "Archive" as illustrated in the image below.

c. Once the user is archived, you can find them in the "Inactive Users" section.

Notes
  • Special characters are not allowed in usernames. The username must contain at least 6 characters.
  • It is necessary to properly set the permissions of the "role" to make these modifications.
  • It is always possible to change the user's name after the account is created.
  • No data is deleted when a license is expired or withdrawn. You can always export or view the reports of interventions made by unlicensed users. The data concerning these users always remain accessible.
  • When a user is archived, his license is automatically unassigned.
  • It is possible to change an inactive user to active one at any time.

4. View a user's last activity

Thanks to the generic “Last activity” attribute available on the user page, you can view a user's last activity. When the mouse hovers over the date, a window displays more information about the application and platform.
